Project Coordination
- Support multiple Infrastructure Project Managers across concurrent enterprise initiatives.
- Track project schedules, milestones, action items, risks, and deliverables.
- Coordinate meetings, document meeting notes, and follow up on outstanding action items.
- Maintain project documentation and ensure project artifacts remain current.
- Assist with project budget tracking and expense management.
- Maintain project financial spreadsheets and cost reports.
- Track purchase orders, invoices, and vendor expenditures.
- Monitor budget variances and escalate discrepancies to Project Managers.
- Track hardware, software, and equipment deliveries for infrastructure projects.
- Coordinate with vendors to ensure timely delivery of project materials.
- Maintain delivery schedules and communicate status updates to project teams.
- Assist with procurement tracking and asset documentation.
- Maintain project dashboards and status reports.
- Create and update Excel spreadsheets for executive reporting.
- Prepare weekly project updates and PMO documentation.
- Ensure project documentation follows PMO standards and governance.
- Schedule project meetings and coordinate calendars.
- Organize project files and documentation repositories.
- Assist with resource tracking and project administration.
- Provide general coordination support for Infrastructure Project Managers.
- 2+ years of Project Coordination or Project Administration experience.
- Experience supporting IT or Infrastructure projects preferred.
- Strong Microsoft Excel skills, including formulas, sorting/filtering, and reporting.
- Experience managing spreadsheets, budgets, or financial tracking.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to prioritize work across multiple simultaneous projects.
- Experience using Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Experience supporting enterprise Infrastructure or IT PMO teams.
- Familiarity with project management methodologies.
- Experience using Smartsheet, Microsoft Project, Jira, or similar project management tools.
- Exposure to procurement, vendor management, or asset tracking.
- Associate's or Bachelor's degree preferred.
- Highly organized and detail-oriented.
- Self-starter with strong follow-through.
- Professional and polished when interacting with stakeholders.
- Comfortable working in a fast-paced enterprise environment.
- Strong problem-solving and critical-thinking skills.
- Team player with a positive, customer-service mindset.
